Prescription Assistance Supervisor

General Description

Under direction of the Clinic Operations Manager and within federal, state and local guidelines performs moderately complex (journey-level) habilitative and rehabilitative individuals care services work. Work involves obtaining free or low cost medications for individuals through prescription assistance (PAP) and other programs; monitoring, analyzing, and reporting on center medication usage; maintaining data in the pharmacy benefits management (PBM) database; researching and reporting on potential resources or program changes; and providing training and education to center staff and individuals served on PAP and other free/discount medication programs.

This position is responsible for assisting Physicians, Nurse Practitioners, Nurses, and Front Desk Staff in the provision of medications in the Psychiatric Medication clinic. This position is responsible for supervising, training, mentoring, and monitoring PAP Coordinators and Med Room Assistants for the Denton and Flower Mound locations. Works under limited supervision, with considerable latitude for the use of initiative and independent judgment.

Education, Training, and Experience

  •   Either a High School Diploma or GED Required.
  •    Prefer one to two years of college or work experience. 
  •   Prefer experience working in direct care and/or social services work.  Supervisory experience preferred.

Registration, Certification, Licensure, and Other Qualifications

  • Must have and maintain a background and criminal history free from any disqualifying offenses as outlined by the Texas Administrative Code (TAC) and the Health and Human Services Commission (HHSC).
  • Must possess and maintain a valid driver's license and automobile insurance.
  • Individuals with an out-of-state driver's license must be able to obtain a driver's license in the state of Texas within thirty (30) days.
  •   Successful completion of all position-specific training within thirty (30) days of employment is required.

Knowledge, Skills, and Abilities

  •   Knowledge of medical and pharmaceutical terms, of community and government service delivery systems, and of community welfare resources.
  •   Ability to communicate effectively, evaluate information, perform basic arithmetic and data analysis, create reports, and train others.
  •   Ability to provide direct care, to administer first aid or cardiopulmonary resuscitation (CPR), to conduct Prevention Management of Aggressive Behavior (PMAB), to communicate effectively, and to supervise the work of others. 
  •   Skill in the use of computers, office equipment, and applicable software, including Microsoft Excel and electronic health records.
  •  Ability to display regular and reliable (in-person, if required) attendance.
  •   Understanding and practice of Trauma Informed Care principles.

Essential Duties

The following list outlines key responsibilities for the position; however, it is not exhaustive and does not encompass all responsibilities. Additional duties may be assigned as needed.

1.  Oversees and monitors training of PAP Coordinators and Medication Room Assistants.

  •   Ensures that employees are trained to perform their jobs and that requirements of the position are communicated to the employee.

2.  Monitors and schedules center training and modules for PAP Coordinators and Medication Room Assistants.

3.  Obtains free or low-cost medications for individuals through PAP, Rx Outreach, and other programs.  Communicate with clinic staff about individuals receiving medications through one of these programs.  Documents all actions taken.

4.  Maintains information of individuals served in the center's contracted pharmacy benefits manager (PBM) database.

5.  Ensure PAP, Rx Outreach, Americares, samples, and other medications are checked in following center procedures.

6.  Leads monthly PAP meetings.

7.  Monitors, analyzes, and generates reports on center medication usage, clinic caseloads, and other clinic activities on a regular basis, and as requested by clinic management.

8.  Acts as a resource for staff and provides education on clinic policies and procedures, including those related to PAP, Rx Outreach, and other medication programs.

9.  Acts as liaison for on site pharmacy staff.

10.  Performs other duties which may include:

  •   After training and having delegation from an RN, observing self-medication duties.

Eval Phone Rotation

  •   Schedules evals following clinic protocol in a timely manner.

Cover for clinic support staff

  •   Fills in for PAP Coordinator, and Med Room Assistant as needed.
  • Must be able to work at all Center locations.
  •   Maintains acceptable driving record as reMR Center insurance.quired for DCMHMR Center insurance.
  • Provides emergency intervention when necessary according to Health and Human Services Commission (HHSC) and Center Policies and Procedures.
  •   Provides verbal PMAB intervention correctly when necessary.
  •  Provides Cardiopulmonary Resuscitation (CPR) in an emergency until other medical aid arrives.
  •   Provides emergency and non-emergency first aid until professional aid arrives or as directed by a licensed medical professional.
  •   Provides emergency and non-emergency first aid effectively until first responders arrive.
  •  Provides Cardiopulmonary Resuscitation CPR in an emergency until other medical aid arrives.
  •   Provides verbal prevention management of aggressive behavior when necessary and does so effectively. 

Supervisory Tasks & Standards

1.  Provides direct supervision of PAP Coordinators and Medication Room Assistants. Positions are posted and filled in compliance with Center procedures and timelines.  

2.  Supervisor will provide individual written supervision to the staff supervised by the position on a regular basis. Supervision will provide guidance for outstanding needs of staff and contractors. (i.e. Review documentation for accuracy and content or provide input) Supervisor will effectively communicate with staff the information that is needed for supervisors to effectively manage their teams and programs.

3.  Supervises, monitors, and evaluates staff performance. Performance Evaluations must be completed within required timeframes and provide accurate depiction on employee's performance and outline goals for improvement if needed.

4.  Ensures that employees comply with health and safety requirements.

5.  Practices workplace safety procedures.

  • Adheres to the use of Universal Precautions.
    • Adheres to the Center Infection Control Plan.
    • Informs appropriate staff of any safety hazard or issue promptly.
  •  Reviews job expectations with staff upon hire, at performance evaluations, and as needed.
  •   Follows up with staff promptly to address any delinquent trainings. 

6.  Follows up with staff promptly to address any health and safety issues. Participates in the Center's Zero Suicide Initiative.

  • Supports individuals experiencing a crisis by promptly connecting them with appropriate Center programs, such as the Mobile Crisis Outreach Team (MCOT), Psychiatric Triage, Crisis Prevention services, and/or other applicable resources. Ensure seamless coordination to facilitate timely intervention.
  • Remains with individuals, when deemed safe, to provide support and maintain a calm environment until specialized crisis staff or emergency personnel arrive to take over intervention efforts. Adheres to safety protocols to prevent escalation of the crisis situation.
  • Participates in debriefing sessions with the immediate supervisor or designated staff following a crisis event. Collaborate with the team to review the incident, identify lessons learned, and ensure all HHSC guidelines and Center policies are followed.
