Clinic Program Assistant
General Description
Denton County MHMR Center is a Trauma Informed Care organization. Denton County MHMR Center employees are to strive to maintain a trauma sensitive workplace, to embrace trauma sensitive and informed practices, and to foster a supportive and welcoming environment of care.
Under direction of the Clinic Operations Manager and within federal, state, and local guidelines perform routine administrative and entry-level to routine habilitative and rehabilitative patient care services work. Work involves collecting, monitoring, and reporting data required by contracts or grants; performing administrative support work; providing health and personal care services to patients; observing, reporting, and documenting patient conditions and behaviors; and intervening in medical and/or psychiatric emergencies.
This position is responsible for providing administrative support to the Medical Director, Administrator of Nursing, and Clinic Operations Manager by collecting and reporting data, conducting internal audits and reports, maintaining relevant documents in an organized manner, and assisting Physicians, Nurse Practitioners, Nurses, and Front Desk Staff in the coordination of services provided in the Psychiatric clinic. Works under moderate supervision with limited latitude for the use of independent initiative and judgement.
Education, Training, and Experience
- High school diploma or equivalent required.
- Experience working in a clinical and/or mental health setting preferred.
- Must be familiar with and/or willing to be training in trauma informed care. This includes understanding, recognizing, and responding to effects of all types of traumas.
Registration, Certification, Licensure, and Other Qualifications
- Must have and maintain a background and criminal history free from any disqualifying offenses as outlined by the Texas Administrative Code (TAC) and the Health and Human Services Commission (HHSC).
- Must possess and maintain a valid driver's license and automobile insurance.
o Individuals with an out-of-state driver's license must be able to obtain a driver's license in the state of Texas within thirty (30) days.
- Successful completion of all position-specific training within thirty (30) days of employment is required.
Knowledge, Skills, and Abilities
- Skill in the use of computers, office equipment, and applicable software, including Microsoft Excel and electronic health records.
- Knowledge of medical and pharmaceutical terms, of community and government service delivery systems, and of community welfare resources.
- Ability to communicate effectively, evaluate information, perform basic arithmetic and data analysis, and create reports.
- Ability to work and communicate with other departments in a professional manner.
- Ability to display regular and reliable (in-person, if required) attendance.
- Understanding and practice of Trauma Informed Care principles.
Essential Duties
The following list outlines key responsibilities for the position; however, it is not exhaustive and does not encompass all responsibilities. Additional duties may be assigned as needed.
- Works with clinic management and IT department to collect, monitor, and report data required by center grants or contracts within designated timeframes.
- Monitors and analyzes MH clinic data related to schedules, caseloads, nurse line, medications, and other relevant areas of clinic operations.
- Audits internal clinic documentation to ensure clinic is in compliance with center contracts, and state and federal law, and provides reports to clinic management in a timely manner.
- Collects and tallies information about grant and other program related performance and other measures. Maintains data tracking documents and reports in an organized manner at least monthly, accessible to clinic management.
- Ensures that clients are seen in the psychiatric clinic for scheduled and standby appointments in a timely manner by working closely with the Physicians, Nurse Practitioners, Nurses, Case Managers, and Front Desk Staff, when assigned.
- Educates clients on clinic guidelines, including but not limited to contacting the nurse line, lab work, ordering refills, and the crisis line. Checks each client in and out of the Psychiatric Clinic as per protocol when assigned. Checks vital signs as delegated by a doctor or nurse, per protocol.
- Prepares the schedules and clients' charts for the physician's or nurse practitioners on a daily basis, when assigned. Ensures the documentation is completed accurately according to DCMHMR's policies and procedures.
- Processes prior authorization requests for medication coverage in a timely manner.
- Provides emergency intervention when necessary, according to Department of Human Services (DHS) and Center Policies and Procedures.
- Provides verbal Prevention Management of Aggressive Behavior (PMAB) intervention correctly when necessary.
- Provides Cardiopulmonary Resuscitation (CPR) in an emergency until other medical aid arrives.
- Provides emergency and non-emergency first aid until professional aid arrives or as directed by a licensed medical professional. Ensures that clients are referred to Case Managers as deemed necessary by Psychiatrists, Nurse Practitioners, Nurses or Mental Health Authority Staff.
- Perform additional duties as deemed necessary by supervisor within designated timeframes.

1.Participates in the Center's Zero Suicide Initiative.
o Supports individuals experiencing a crisis by promptly connecting them with appropriate Center programs, such as the Mobile Crisis Outreach Team (MCOT), Psychiatric Triage, Crisis Prevention services, and/or other applicable resources. Ensure seamless coordination to facilitate timely intervention.
o Remains with individuals, when deemed safe, to provide support and maintain a calm environment until specialized crisis staff or emergency personnel arrive to take over intervention efforts. Adheres to safety protocols to prevent escalation of the crisis situation.
o Participates in debriefing sessions with the immediate supervisor or designated staff following a crisis event. Collaborate with the team to review the incident, identify lessons learned, and ensure all HHSC guidelines and Center policies are followed.
